How To
How to Share Construction Progress With Your Client (No Login Required)
Construction clients ask the same question every few days: "How's the project going?" Phone calls and text updates take time you don't have, and they don't create a paper trail. A professional client portal solves this without adding work to your day — every report you submit is automatically visible to your client, no extra steps required.
ConstruTrack's Client Portal lets you share a private, read-only link with your client. They click it, they see your submitted reports. No account. No app. No login required.
Why Client Transparency Matters
Clients who feel informed are easier to work with. They ask fewer questions during the day, they trust your process more, and they're more forgiving when problems arise because they've been watching the project progress with you in real time.
Clients who feel out of the loop are the opposite. They call at inconvenient times for status updates. They second-guess decisions. And when something goes wrong — even something minor — they're caught off guard, which is when disputes start.
A client portal doesn't just save you phone calls. It shifts the dynamic of the whole owner-contractor relationship. You're no longer managing information; you're giving them direct visibility into your professionalism.
There's also a documentation angle. When your client has been receiving daily reports throughout the project, "I didn't know about that" becomes a much harder argument to make. Every issue, delay, or deviation from plan is documented in real time, visible to everyone with the link.
What Is the Client Portal?
The Client Portal is a private URL that ConstruTrack generates for your project. Anyone with that URL can view all submitted daily reports for the project — in reverse chronological order, with photos, work logs, time cards, and notes included.
The link is unique to your project. It's not indexed by search engines, not shared with anyone else, and it shows only what you've explicitly submitted. Draft reports are never visible through the portal.
The Client Portal is available on the Pro plan ($19/month) and is enabled per project from your project settings.
How to Generate and Share the Link
Enabling the client portal takes about 30 seconds:
- Open your project and go to the Settings tab.
- Scroll to the Client Portal section at the bottom of the settings page.
- Click "Enable Client Portal." ConstruTrack generates a unique private URL for your project.
- Click "Copy" to copy the link to your clipboard.
- Send it to your client — paste it into an email, a text message, or your existing project communication channel.
That's it. The link works immediately. Your client can open it on any device — phone, tablet, or desktop — without creating an account or downloading anything.
You can also click "Preview client view" directly in your settings to see exactly what your client will see before you share the link.
What Your Client Sees
When your client opens the link, they see a clean, read-only view of the project with all submitted reports listed from most recent to oldest. For each report, they can see:
- Work logs — what was accomplished that day, by which trade
- Time cards — individual worker names and hours (if you logged them)
- Photos — with captions, exactly as they were attached to the report
- Notes — general notes, safety notes, and quality observations
- Incidents — any delays or safety incidents you logged
The first report in the list is expanded by default; older reports are collapsed and can be opened with a tap. The view is professional and easy to navigate — something you'd be comfortable sharing with any client or owner representative.
Clients cannot add comments, make changes, or interact with the data in any way. It's strictly read-only.
How to Revoke Access
When the project is complete — or if you need to revoke access for any reason — disabling the portal is as fast as enabling it:
- Go to Settings → Client Portal in your project.
- Click "Disable Client Portal."
- Confirm the action.
The link stops working immediately. If your client tries to open the URL after you've disabled it, they'll see a clean "not found" page. No error, no exposure of any data.
If you later re-enable the portal, ConstruTrack generates a new, different URL. The old link will never work again, even if you re-enable.
Tips for Using the Client Portal Effectively
Share it at project kickoff. Don't wait until a client asks for an update to tell them about the portal. Share the link in your first communication after project start so they know where to find information instead of calling you.
Mention it in your proposal. "We send daily reports to all project stakeholders and give you a private portal to view progress in real time" is a strong differentiator that many competitors can't match.
Caption your photos well. Since clients are viewing reports directly, photo captions matter. A caption like "Framing complete on east elevation" is far more informative than leaving it blank.
Keep your notes client-aware. You don't need to censor your daily report — but knowing that your client may read it daily is a good reminder to keep notes factual and professional.
The Client Portal is included in the Pro plan at $19/month. Start your free account today — you can upgrade to Pro from your settings whenever you're ready to share your first client link.
